Renewal tracking 101

How license and renewal tracking works

What is license renewal tracking software?

License renewal tracking software centralizes expiration dates for professional licenses, contracts, certifications, and other time-sensitive records — and sends automated reminders before each deadline. It replaces manual spreadsheet tracking with a dashboard showing upcoming, expiring, and overdue records across a whole team.

How do companies track license expiration dates?

Most small teams start with a spreadsheet and manual calendar reminders. The standard upgrade is a dedicated expiration tracking system with centralized records, assigned owners, and automated reminders at 30, 60, and 90 days before each deadline. Teams managing 20+ licenses across multiple people benefit most from software.

What happens if a professional license expires?

When a professional license lapses, the holder may be prohibited from practicing until reinstated. Healthcare providers risk billing gaps, contractors may lose permit-pulling rights, and insurance agents cannot legally sell policies. Most states charge reinstatement fees on top of standard renewal fees, and some require additional CE hours.

How far in advance should you start the renewal process?

Most licensing boards recommend starting 60–90 days before expiration. This allows time to complete required continuing education (CE) hours, gather supporting documents, and process the application. Multi-state license holders should start 90 days out since each state board has its own processing timeline.

Completely free during Early Access — no credit card required. When a paid plan launches, we will give at least 60 days notice. Existing users get a clear upgrade path, not an abrupt cutoff.

No. Sign up with just your email address. No trial period, no payment details.

Yes. Upload a CSV and map your columns to RenewOps fields. The importer handles up to 500 records per upload and shows a validation preview before anything is saved.

Contracts, licenses, certifications, insurance policies, subscriptions, domains, and vendor documents — each with expiration, renewal, notice, and review dates.

Set reminder offsets per record (30, 14, 7, 1 days before expiration). RenewOps sends a digest email on matching days. Configure defaults for your workspace in Settings.

Yes. TLS encryption in transit, AES-256 at rest, and row-level security enforced at the database layer — no query can return another user's records.

Currently single-user. Multi-user workspaces with role-based access are on the roadmap for the Pro plan. Owner assignment on records is designed with team handoff in mind.

Yes. Export any filtered view as CSV from the Records page at any time. No lock-in.

Not yet. Current integrations are email reminders and CSV import/export. Webhook support and Zapier/Make integrations are planned for the Pro plan.

Nothing changes automatically. You keep access to your workspace. If a paid plan becomes required, we will give at least 60 days notice and offer a clear migration or export path before any access change.

There is no hard record limit during Early Access. The workspace is built for teams managing 20–500 records across contracts, licenses, certifications, and vendor documents.
